ASSISTANT APPLICATION

About the Role
The HausIM is seeking a part-time Programs & Creative Assistant to work closely with our Co-Directors and support the day-to-day operations, programming, communications, and creative needs of the organization.
This is a hybrid role for someone who can move comfortably between community, administration, and creativity. One day may involve corresponding with grant applicants and scheduling interviews; another may involve creating an Instagram graphic, researching a new funding opportunity, organizing materials for an activation, or supporting an event in person.
We’re looking for someone who understands ballroom and can bring care, organization, creativity, initiative, and their own perspective to the work. This person will help us keep The HausIM moving while contributing to how the organization continues to grow.
Key Responsibilities

Applicant & Grantee Support — Manage applicant correspondence, application updates, interview scheduling, onboarding, check-ins, and ongoing grantee follow-through.

Administrative & Scheduling Support — Maintain calendars, coordinate meetings and interviews, track deadlines, organize documents, and support day-to-day operations.

Social Media & Communications — Assist with content planning, posting, DMs, community engagement, announcements, and maintaining The HausIM’s digital presence.

Creative & Visual Production — Create and edit flyers, infographics, social media assets, event materials, presentations, and other promotional content.

Events & Activations — Support the planning and execution of community events, balls, workshops, cultural experiences, and other HausIM activations, including hands-on event support.

Partnerships & Outreach — Research potential organizations, brands, collaborators, and community partners while assisting with outreach and follow-up.

Funding & Grant Research — Research grants, foundations, sponsorships, arts and cultural funding, and other opportunities aligned with The HausIM’s mission; help maintain an organized pipeline of opportunities and deadlines.

Co-Director & Organizational Support — Work closely with the Co-Directors to keep projects moving, identify outstanding needs, and support the continued growth of The HausIM.

Ideally, you are someone who:

Has a strong understanding of ballroom culture and meaningful connections within the community.

Is passionate about supporting ballroom, its artists, Hauses, and communities.

Tri-State area preferred & connected to the local scene(s).

Is organized, proactive, reliable, and able to keep multiple moving pieces on track.

Has experience supporting leadership, creative teams, community organizations, productions, or similar projects.

Is a thoughtful communicator who knows how to work with people, build relationships, and follow through.

Has experience with social media and basic graphic/content creation.

Is comfortable using or learning Canva, Google Workspace, Calendly, spreadsheets, and social platforms.

Has experience researching grants, funding opportunities, sponsorships, fundraising, or nonprofit resources.

Is available for occasional evening/weekend activations and events.

Can work independently while knowing when something needs to be brought to the Co-Directors.

Is excited to grow with The HausIM, not simply work for it.
Preferred but not required: Experience supporting grant applications, sponsorship proposals, fundraising campaigns, or nonprofit development.
Position Structure
This is a part-time, six-month contracted role at $38.50/hour for approximately 15 hours per week, with the potential for extension.
The Programs & Creative Assistant will have flexibility in building their weekly schedule based on current projects, deadlines, and organizational needs.
One consistent day each week will include a required meeting with the Co-Directors, scheduled on the same day as The HausIM’s standing leadership meeting. This will serve as dedicated time for the team to connect, review priorities, discuss upcoming programming and deadlines, and identify what support is needed for the week ahead.
Outside of the weekly meeting and any scheduled events, activations, or time-sensitive responsibilities, the Programs & Creative Assistant will have the flexibility to structure their remaining weekly hours independently.
At the four-month mark, we’ll conduct a formal review to assess the role, performance, organizational needs, and the possibility of extending the position beyond the initial six-month contract.
